Therapist Account - How to navigate Portia web admin

Portia has various user levels with a varying levels of access. 

In this video we will discuss the Therapist level account.

To set up your account, you will receive a welcome email from Portia. This will include a link where you will access the system as well as a temporary password. We will discuss how to change the password to one of your choosing in this video.

Go to the link provided in the email.

We suggest you use Chrome Browser to access Portia, please ensure the version is up to date.
Your email address is your username.

Enter the temporary password.

If you ever forget your password you can press the Forgot my password button and an email reset will be sent to you.

Upon logging you will be brought to the Dashboard, here you will see your recently viewed learners, the last ten sessions, and you schedule is at the bottom.

Click on the Session date to see the scheduled time and the actual time, this is a great way to ensure the data you entered is correct for billing and payroll purposes.

Now let’s look at My Profile. Here you can enter pertinent info like your home address, your credentials and pock a schedule color.

If your account has Scheduler on top then you will also have access to the Master Schedule tab, you will schedule sessions here.

The My Profile Tab is where you can change your password to one of your choosing by pressing Change my password.

The Forms Tab includes the forms completed by you as a team member, they are not linked to a Learner or a client. 

Example forms may be Vacation request or Supervision forms, speak to your Supervisor as to how the clinic will use this section.

The My Schedule Tab has your schedule, here you have view only access to your schedule.

Notifications is where you can choose what you wish to receive a notification for. For example, a Learner Summary has been updated.

Notifications that you have received will appear in Notification History. They will also appear on the top right bell.

The Documents Tab can be used for your employee files if the clinic has integrated a Box.com account with Portia.

Learner teams show you all the Learners you are assigned to.


Learner Tab - as a Therapist account, you will have access to the blue icons.
Let’s start with Learner program page.

Here is the Learner’s program, with the Tasks and Targets.
You can see the number of active Targets by refreshing the mobile preview. This shows you the number of active targets that will appear in a one to one and group therapy session.

To view the Teaching Procedure press on the arrow.

To view Target press on View Targets.

As you can see this Task has a lot of targets pre-programmed. The Task is set to show only 2 targets in acquisition at a time, you can see the limit here.

This task is limited to 3 targets.
If. It says All, then all targets in acquit ion  for the task will be presented.

You can create and view messages on Tasks and Targets on this screen as well as on the mobile app. Simply click on Messages and then add your message.

Under the mobile preview there are filters that you can use to help you navigate this screen.

The Notes Tab shows the Notes created for the Learner as well as Session Notes, which show the status changes for targets as well as any Forms that are automatically changed to Notes which allows you to view them on the mobile app.

Forms Tab shows the Forms created for the Learner. 

There are two view to this page, Completed Forms and Draft Forms.

Draft forms are forms that have mandatory fields that were not completed with all mandatory fields completed. Press edit to finalize a draft form.
To complete a new form press Fill out new Form.

The image library is a collection of images that you can use in your therapy session. 

Each Clinic has a library.

The Portia library Is divided into sections such as vehicles, animals, and shapes. 

Most images have a real-life photo, a photo with no background, and a cartoon or toy picture. 

The Clinical Director when preparing a Learner’s program can use these images on the mobile app, or you can print the images on this page.

When you scroll down you will also see the each Learner has their own image library.

The Messages tab can be used to communicate with other members in your clinic.

Please note, these messages are not tied to a Learner.

The Support Tab is where you can view Portia Knowledge Base, search for how to articles, and Create tickets. 

Please note - the log in for the Support centre is not required to create a ticket, the response will be emailed to you. 

If you wish to create an account in the portia Support Help Desk, please reach out to them Support team to create an account. Note - this log in is separate from the log in to Portia and needs to created by our Support Team.

You can collapse the side menu by pressing this button.

When you are finished on the web admin please remember to Logout.
