Integrating With BOX.COM For HIPAA Compliant Document Storage and Sharing
Portia can be integrated with your existing Box.com account, this will provide a HIPAA compliant document storage and sharing centre.
If you do not have an existing Box.com account, please visit their website and set up an account. Please note the file size limit (if any) on the account you set up to be certain that the account type will satisfy your document storage and sharing needs.
In Box.com -> Settings, you will need to enable Sharing as per the following image

Once your Box.com account is set up you are now ready to integrate your account.
Go to Settings and select Storage on the top menu bar.
Press "Connect with Box.com" - you will then be brought to the Box.com website. You will be prompted to enter your Box.com username (email) and password.
The process to integrate with Box may take several minutes depending on the number of Learners you have in Portia.
Box.com will create a folder which houses the Learner folders (one folder for each Learner). The name of the Folder will be the name of your Clinic (as per entered in Portia’s Clinic Settings)
The folder names will be unrecognizable if you were to login directly to the Box.com website... for confidentiality reasons - all folders and document names will be an alphanumeric combination. (This is on the Box.com website only) - when you view your Learner's documents the correct name will be shown on Portia.

You can disconnect with Box.com should you wish.
Please note this will permanently delete the Portia folder and all the files within those folders on your Box.com account.
It will not delete any files or folders outside of the Portia folder.
Now that your Box.com account is integrated you can upload to:
1. Clinic Documents under the left menu "Documents" Tab.
2. You can upload Learner documents to each Learner's account.
Enter the Learner's account and select Documents on the right top menu.

Please note: all staff accounts can put a file in the Trash. However, only Clinical Directors can empty the trash.
